Ease of use
Overall, Kashoo is perhaps one of the easiest accounting softwares on the market and this is a massive plus for small businesses who don’t have the time to invest in longer training sessions.
With the newly designed interface very clean, modern, and pleasing to the eye, Kashoo is designed to be simple, making it easy to perform multiple functions such as entering a contact, invoicing a customer, and recording a payment.
The Settings option at the bottom left side of the screen lets you add various features to your business, including invoice setup and online payment acceptance. Since Kashoo supports multiple users, you can assign users their own access level, with Admin and Billing, Admin, and Business Owner access levels available.
This can also help prevent unauthorized access to confidential data such as banking transactions or payroll/employee information. Kashoo also allows you to add information as you go, you can be up and running in a very short amount of time.
Features
For a 100% online solution, Kashoo offers a very wide range of features. This topic covers the main features, of which we will review the main elements.
Bank reconciliation
Small businesses can quickly and easily reconcile your bank accounts, a feature available on the TrulySmall Accounting & Kashoo plans only. You can also connect credit card accounts, investment accounts, or any other kind of financial account actively being used.
Like similar applications, Kashoo will allow you to connect your bank accounts and automatically import banking transactions. If you choose to bypass this process, you can still choose to upload a bank statement into Kashoo for an easier bank reconciliation process.
Auto-import is another feature offered by Kashoo for a variety of transactions.
Dashboard
The dashboard tallies are refreshed in real time, giving company owners with information such as revenue and costs, net earnings, money deposits and withdrawals and total net cash.
The dashboard totals include all transactions published to your general ledger, including any payments posted from related accounts and any journal entries that may have submitted in the program. The dashboard also includes graphs and charts.
Additionally, the dashboard shows income, spending, and balances. The dashboard totals do not include any entries in the Mailbox that haven’t been converted to transactions.
Invoices
Kashoo invoices may be created in less a minute, and data for both the customer and the product can be input in real time. Following the input of an invoice, many alternatives will appear in the Save menu.
You can save and start a new invoice, save and close the invoice window, preview and send, inspect the invoice before sending, or make a copy of the current invoice.
If you’re prepared to take credit card transactions from your clients, a box labeled Include Payment Link will appear. Credit card processing may be enabled during setup, however invoices can still be printed and sent if preferred.
You can customize your invoices by selecting one of the seven templates and uploading your logo. However, there are no options to change the color or font or to toggle fields on and off. More extensive customization, such as adding more fields, requires XHTML and CSS coding.
Reporting
Based on your stored data, Kashoo can generate traditional financial reports such as profit and loss statements, balance sheets and tax reports. You can also create and save customized reports, as well as export reports to send to accountants, team members or other business consultants.
Bills to Pay
You are able to take care of all of your various vendor invoices with the Bills to Pay tool. It gives totals such as the overall price numbers for the year, the overall number of weeks it takes your firm to settle a supplier bill, the overall outstanding amount owing, and the total of any invoices that are past late.
This summary is conveniently located at the top of the page.
Projects
From the Business Settings menu, you can turn on the Projects feature to track costs and income for specific clients or projects. However, there aren’t any pre-invoice documents, such as estimates or quotes, which are commonly used by businesses that work with clients on a project basis.
Journal entries
With the release of Kashoo 2.0, the journal entry feature was modified such that users must now use the Add Adjustment page in order to generate journal entries.
This gives you the opportunity to add a summary of the general journal that you are creating, and if the totals of the credit and debit don’t balance, a warning notice will display to alert you to the problem.
Users of Kashoo 2.0 are strongly urged to link their bank balances to the program in order to avoid the need of processing a huge volume of journal entries. This new feature was introduced in Kashoo 2.0. However, you will need to utilize the Add Adjustment tool in order to record transactions such as depreciation.
Bank account sync’s
Kashoo integrates with more than 5,000 financial institutions worldwide, allowing you to synchronize your finances in a single place.
Information from other accounting systems may be imported, and account balances and payments can be synchronized. Your connected accounts will appear on the homepage and used to fill your inbox with new messages.
With Kashoo, your account connections are always safe and secured, and as you begin to organize your inbox, the software will continue to classify new data according to your predefined criteria and machine learning.
Although it’s best practice to keep your company and personal funds separate, Kashoo does allow you to segregate personal and business transactions if you operate a very tiny business or side hustle.
Contact management
A Contacts function has been added in lieu of the previous Lists feature that was available in earlier versions of Kashoo. Through the Contacts tool, you will be able to keep tabs on all of the clients and suppliers with whom you are engaged in commercial transactions.
In addition to that, you will be able to examine any transactions that are associated with the customer or the vendor in that section as well.
Expense and income tracking
Kashoo makes it easy to keep tabs on all of your incoming receipts and outgoing payments, allowing you to better prepare for tax season.
You’ll be able to see which categories account for the bulk of your spending, and you’ll have the option to enter any missing transactions manually. You’ll also be allowed to digitally record receipts and connect them straight to costs.
In addition to displaying your total revenue, spending, net cash, and net earnings for the current financial year, the “Transactions” portion of your account will also include all of the transactions that have been examined.
Moreover, Kashoo can support numerous currencies, however you’ll have to switch on this functionality to start logging FX payments.

Kashoo takes security seriously, offering a number of security features designed to protect your data, including:
- SSL encryption
- Firewalls
- 24/7 monitoring

Kashoo: Overall verdict
Kashoo is very simple to use and for that alone, we give it a huge thumbs up. It also offers double-entry accounting, basic accounting features, a nice mobile app, superb customer support and affordable plans and unlimited users.
There are some drawbacks nonetheless including the fact that Kashoo doesn’t provide estimates or time tracking, which is not ideal for many small businesses who need to frequently send these out to prospective clients. There are also limited reports, integrations, and invoice customizations.
For many business owners however, this accounting tool will hit the spot nicely with its clean interface, simple approach to business bookkeeping, customizable invoices and easy tracking of expenses, and report generation.
